Your Dashboard

Your daily command center — see occupancy, billing health, recent activity, and overdue invoices at a glance.

Overview

The Dashboard is the first thing you see when you log in. It gives you a quick read on how your facility is doing right now — how full you are, what’s owed, what happened recently, and what needs your attention.

Think of it as your morning checklist in one screen.

Getting there

The Dashboard loads automatically when you sign in. You can also get back to it anytime by:

  • Clicking Dashboard in the top navigation
  • Clicking the LeaseLlama logo

Spaces overview

This card shows your facility’s occupancy at a glance.

MetricWhat it tells you
X of Y rentedHow many of your total spaces are currently checked out
Available nowSpaces ready to rent today
Occupancy ratePercentage of spaces that are occupied

A Space Check-Out button takes you directly to the Spaces page, so you can start a new rental quickly.

Reading your occupancy rate

RateWhat it usually means
90–100%You’re nearly full — nice problem to have
70–90%Healthy range for most facilities
50–70%Moderate — worth reviewing your pricing or marketing
Below 50%Low — dig into what’s happening

Billing health

This card shows your financial pulse.

MetricWhat it means
Amount dueTotal unpaid across all invoices (including ones not yet past due)
Invoices dueNumber of invoices with any remaining balance
Overdue amountMoney that’s past the due date — shown in red
Overdue invoicesCount of those overdue invoices

The View Billing button opens the full Invoices page.

What’s the difference between “due” and “overdue”? Due includes everything unpaid — even invoices that aren’t late yet. Overdue is only the ones past their due date. If your “due” is high but “overdue” is zero, you’re fine — invoices just haven’t come due yet.

Recent activity

A live feed of the latest actions across your facility. Everyone on your team can see this.

ColumnShows

Overdue invoices

This table highlights invoices that are past their due date. These are the ones that need your attention most.

What to do about overdue invoices

  1. Contact the renter — a phone call or email reminder usually does the trick
  2. Check their payment method — is the card on file still valid?
  3. Review their account — click the renter name to see their full history
  4. Consider late fees — LeaseLlama can apply these automatically based on your System Settings
  5. Last resort — for truly uncollectable invoices, you can mark them as bad debt from the Invoice Details page

When all invoices are current, you’ll see a reassuring “All invoices are current” message.

Using the dashboard effectively

Start each morning with this

  1. Check overdue invoices — any new ones? Any getting worse?
  2. Scan recent activity — did overnight auto-charges go through?
  3. Glance at occupancy — any spaces available if someone walks in today?

Weekly review

Once a week, take a longer look:

  1. Billing trend — is the overdue amount growing or shrinking over time?
  2. Occupancy changes — any significant shifts?
  3. Activity patterns — what are your busiest days?

Common questions

How often does the dashboard update? It refreshes each time you load the page. For an updated view, just refresh your browser.

Can I customize what shows on the dashboard? Not currently — the dashboard automatically shows the most important metrics.

I just signed up and everything is empty. Is that normal? Yes! The dashboard populates as you start operations — adding renters, checking out spaces, recording payments, etc.
