Invoices

Your central hub for viewing, filtering, and managing all invoices across your facility.

Overview

The Invoices page shows every invoice across your entire facility — what’s paid, what’s due, what’s overdue, and what needs attention. This is where you go to get the big picture on billing.

To get here: Click Billing in the main navigation. You’ll land on the Invoices tab.

How invoices work

LeaseLlama creates most invoices automatically:

You don’t need to create invoices for regular billing — LeaseLlama handles it based on each renter’s billing schedule.

Summary bar

Two numbers at the top tell you where things stand:

When both are $0.00, everyone’s paid up.

Finding invoices

Search by invoice number (e.g., “INV-000015”), renter name, or business name.

Filter by type: All Types, Check-Out, Check-In, Rent Payment, or Manual Invoice.

If you see a circular arrow icon next to a status badge, it means auto-charge is enabled — the card will be charged automatically.

Quick tasks from here

Find overdue invoices: Filter by Status → “Payment Overdue.”

Record a cash/check payment: Click the invoice number → Record Payment.

Void a mistake: Click the invoice number → More menu → Void Invoice.

Create a custom invoice: Click Create Invoice (top right) to bill for one-off charges. See Creating a Manual Invoice.

Common questions

What’s the difference between Outstanding and Overdue? Outstanding includes everything unpaid (even invoices not yet due). Overdue is only the balance past the due date.

Can I edit an invoice after it’s sent? No — invoices are locked financial records once sent. Instead, issue a credit to reduce the balance, or void and recreate it (only if no payments have been recorded).

Why can’t I find my invoice? Check your filters — you might be filtering by a status that excludes it. Click Reset to see everything.

How do I see invoices for one specific renter? Either search their name on this page, or go to their Renter Profile → Invoices tab.
