Tags

Create color-coded labels to organize and filter spaces beyond what categories provide.

What are tags?

Tags are flexible labels you attach to spaces for organization and filtering. Unlike categories (which control pricing), tags are purely for helping you find and group things.

To get here: Go to AdministrationTags.

When to use tags

Tags fill the gaps that categories can’t. A few examples:

TagPurpose
Ground FloorIdentify easily accessible units
Drive-Up AccessUnits near loading areas
Near ElevatorGood for mobility-limited renters
Building A / Building BTrack location
Needs RepairFlag maintenance issues
ReservedHold for a specific purpose

Tags vs. categories

Rule of thumb: if it affects pricing → category. If it’s just for filtering → tag.

The tags screen

  • Left side: search box and tag list with color badges and usage counts
  • Right side: details of the selected tag or create/edit form

Creating a tag

  1. Click Create New Tag
  2. Enter a tag name (max 50 characters, must be unique)
  3. Optionally add a description
  4. Choose a color
  5. Click Create Tag

Available colors

FamilyOptions
NeutralZinc
WarmRed, Orange, Amber, Yellow
GreenLime, Green, Emerald, Teal
BlueCyan, Sky, Blue, Indigo
PurpleViolet, Purple, Fuchsia
PinkPink, Rose

Tip: Use colors consistently. For example: greens for features, blues for locations, yellows for status, reds for problems.

Editing and deleting tags

Click a tag to view it. Click Edit Tag to change the name, description, or color. Changes update immediately everywhere.

You can only delete a tag if it’s not assigned to any spaces (usage count = 0). Remove the tag from all spaces first, then delete it.

Assigning tags to spaces

Tags are assigned in the Spaces section, not here:

  1. Go to AdministrationSpaces
  2. Select a space → Edit Space
  3. Check the tags you want
  4. Click Save Changes

Best practices

  • Keep names short — tags appear as badges; long names wrap awkwardly
  • Add descriptions — help other staff understand when to use each tag
  • Plan your system — decide what categories of info you’ll track (location, features, status, marketing) before creating tags randomly
  • Don’t duplicate categories — if the distinction affects pricing, it should be a category, not a tag

Common questions

How many tags can I create? No limit.

How many tags can one space have? No limit.

Do tags affect pricing? No. Tags are for organization only.

Can I assign tags to renters? Not currently — tags are for spaces only. Renter tagging may come in a future update.
