Categories Setup
Create and manage categories to group similar storage spaces with consistent pricing and deposits.
What are categories?
Categories are groups for your storage spaces. All 10x10 standard units might be one category, all climate-controlled units another, vehicle storage a third. Every space belongs to exactly one category and inherits its default pricing.
To get here: Go to Administration → Categories.
Why categories matter
- Consistent pricing — set one daily rate for all units in a group
- Standard deposits — same security deposit for similar spaces
- Quick filtering — find all units of a certain type instantly
- Simpler setup — new spaces inherit category defaults automatically
The categories screen
The page is split in two:
- Left side: list of all categories with a search box
- Right side: details of the selected category, or the form to create a new one
Creating a category
- Click Create New Category
- Fill in the fields below
- Click Create Category
Fields
| Field | Required | Details |
|---|---|---|
| Category ID | Yes | Auto-generated (CAT-A, CAT-B…) or custom (toggle “Use custom category ID” and enter up to 6 characters) |
| Category Title | Yes | Descriptive name, max 26 characters (e.g., “10x10 Climate Controlled”) |
| Daily Rate | Yes | Price per day — LeaseLlama calculates monthly/quarterly/annual from this |
| Deposit Amount | Yes | Security deposit for new checkouts ($0 if no deposit) |
| Notes | No | Internal notes staff can see (max 1,000 characters) |
Calculating daily rates
LeaseLlama uses daily rates internally. To convert from a monthly price:
| Monthly price | Daily rate |
|---|---|
| $50/month | $1.67/day |
| $100/month | $3.33/day |
| $150/month | $5.00/day |
| $200/month | $6.67/day |
You can override the rate on individual spaces if needed. The category rate is just the default.
Editing a category
- Click a category in the list
- Click Edit Category
- Make changes and click Save Changes
Changes to daily rate or deposit only affect new rentals. Existing rentals keep their original pricing. Title and notes update immediately everywhere.
Deleting a category
You can only delete a category with no spaces assigned to it. If the Delete button doesn’t appear, move or delete the spaces first.
Categories vs. tags
| Categories | Tags | |
|---|---|---|
| Required? | Yes, every space needs one | No, optional |
| Per space | Exactly one | As many as you want |
| Controls pricing? | Yes | No |
| Purpose | Define space types | Organize and filter |
If the grouping affects pricing → use a category. If it’s just for organization → use a tag.
Common questions
Can I change a category’s ID? Yes, but historical reports referencing the old ID won’t auto-update.
Can a space belong to multiple categories? No. Use tags for multi-label grouping.
Do I need categories before adding spaces? Yes. Every space must belong to a category.
