Managing Spaces

View, search, and filter your spaces — see what's available, rented, or suspended.

Overview

The Spaces page is your operational hub for all the units at your facility. From here you can see which spaces are available, which are rented out, search and filter to find what you need, and kick off checkouts and check-ins.

Space basics

Every space in LeaseLlama has:

  • A unique Space ID (like CAT-A-01 or UNIT-15)
  • A Category that determines its default pricing
  • A Status: Available, Checked-Out, or Suspended
  • Optional Tags for extra organization (e.g., “Premium,” “Ground Floor”)

Tip: Think of categories as the type of space and the Space ID as the specific unit number.

The three status views

The Spaces page has three tabs, one for each status. The count on each tab tells you the totals at a glance — like Available (18), Checked-Out (5), Suspended (2).

Available

Spaces ready to rent. The table shows:

Pricing explained: LeaseLlama stores a daily rate internally and calculates other intervals:

  • M (Monthly) = daily rate × 30
  • Q (Quarterly) = daily rate × 90
  • A (Annual) = daily rate × 365

Checked-Out

Spaces currently rented. The table shows:

Suspended

Spaces temporarily taken out of service (repairs, holds, etc.). Shows the Space-ID, title, tags, and the suspension reason.

Finding spaces

The search box filters spaces by:

  • Space-ID (e.g., “CAT-A-01”)
  • Category-ID (e.g., “CAT-A” to see all Category A spaces)
  • Space Title
  • Renter Name (in the Checked-Out view)

Results filter as you type.

Filter by category

If you click a Cat-ID on the Categories page, you’ll arrive here with that category pre-filtered. A blue badge shows which category is active — click X to clear it.

Filter by tags

If your facility uses tags:

  1. Click the Filter by tags dropdown
  2. Select one or more tags
  3. The table shows spaces matching any of the selected tags

Selected tags appear as green badges. Click Clear Tags to remove filters.

Taking action on a space

  1. Find the space using search or filters
  2. Click the checkbox in the Select column
  3. Click the action button in the top right

You can only select one space at a time. For multiple checkouts to the same renter, complete each one separately.

Viewing space details

Click any Space-ID link to open the detail page, which shows:

  • Space info — ID, title, category, status
  • Pricing — daily rate, rate source (category default or space override), deposit
  • Current rental (if checked-out) — renter, checkout date, billing interval, locked rate, payment method
  • Notes — internal notes and suspension reasons
  • Rental history — all past rentals for this space

Suspending and unsuspending spaces

Suspend a space to take it out of the available inventory temporarily — for repairs, a customer hold, or any other reason.

  1. Open the space detail page (click the Space-ID)
  2. Click Suspend Space
  3. Enter a reason (required)
  4. Confirm

To bring it back, open the suspended space and click Unsuspend Space. It returns to Available status immediately.

Common questions

Why is the action button grayed out? You haven’t selected a space yet. Click the checkbox next to a space first.

How do I add or edit spaces? That’s done in Administration → Spaces. This page is for daily operations — viewing, checking out, and checking in.

What does “Rate Source: Space Override” mean? An admin set a custom rate on this specific space instead of using the category default. See Spaces Setup for details.

Can I edit a space from this page? No — editing is done in Administration. This page is focused on operational tasks.
