User Roles Explained

What Administrators and Operators can do — a quick reference for understanding your permissions.

The two roles

Every LeaseLlama account has one of two roles. Your role determines what you can see and do in the system.

Administrator

Best for: Owners, managers, and senior staff who configure the facility.

Administrators have full access to everything:

  • Invite and manage team members, reset passwords, change roles
  • Create and edit categories, spaces, tags, and contracts
  • Adjust billing settings, tax rates, and Stripe connections
  • Review audit logs and accounting
  • Access every page including Administration settings

The system prevents deleting the last admin account — every facility always has at least one administrator.

Operator

Best for: Front desk staff, part-time employees, and day-to-day operations.

Operators handle daily workflows:

  • Search spaces, view availability, check out and check in renters
  • Manage renter profiles, authorized persons, and payment methods
  • Record manual payments and view invoice history
  • Monitor the dashboard for occupancy, billing, and alerts

Operators cannot:

  • Access the Administration area (settings, users, contracts, integrations)
  • Edit category or space definitions
  • Void invoices or change tenant-level settings

How to check your role

Your role badge appears:

  • On the Users page (Admins only can see this)
  • Ask your facility admin if you’re unsure

Changing roles

Only an Administrator can change another user’s role. Go to AdministrationUsers → select the user → Edit User → change the Role → Save.

Caution: If you change your own role from Admin to Operator, you’ll lose access to Administration. Make sure another admin exists first.
